Setup Guide

First, an administrator must access your email provider's settings to configure a mailbox with Full Access permissions. You can either use an existing mailbox or create a new one for this purpose.

If you maintain your own email server or use a third-party server, you may need to work with your IT team to configure the appropriate mailboxes. This can be a bit more complex, but it's essential for setting up email monitoring in Applied Epic.

To configure the mailbox through Applied Hosted Exchange, you have two options: create a new mailbox with Full Access or configure Full Access for an existing mailbox. Either way, you'll need to return to the Configure section in Applied Epic and add each email address.

Here are the steps to configure a new mailbox with Full Access:

  • Create a new mailbox
  • Grant it Full Access permission to all generic email addresses you want monitored
  • Return to Configure > Attachment > Monitor Emails in Applied Epic and add each email address

Alternatively, if you want to configure an existing mailbox, follow these steps:

  • Configure the existing mailbox with Full Access to all generic email addresses
  • Return to Configure > Attachment > Monitor Emails in Applied Epic and add each email address

Once you've configured your mailbox, you can move on to integrating it with Applied Epic. To do this, you'll need to follow the integration setup process outlined below.

Here are the steps to set up the integration:

1. If you don't already have Epic Leads Inbox configured, contact Applied customer support team.

2. From the Canopy Connect platform, click Integrations.

3. Find the Applied integration tile and click the + icon to add the integration.

4. Enter your Applied Epic Tenant ID.

5. If you want to automatically send prospects into Applied Epic, check the box.

6. Finish by clicking the Setup Integration button.

Epic Email Integration

You can easily integrate your email with Applied Epic by sending Canopy Connect data directly to the Epic Leads Inbox. This integration allows you to streamline your workflow and save time.

From the Canopy Connect submissions tab, click on the submission you'd like to use. If you've configured your integration to automatically send prospects into Applied Epic, you can skip to the next step.

To send a policy to Applied Epic, select the Applied module under Integrations and choose whether you want to send an auto or home policy. Click the Send to Applied button to initiate the process.

Once you've sent the policy, go to your Applied Epic Leads Inbox and select the lead record. Click the Import Leads button to begin the import process.

Epic Leads Inbox will check for potential duplicates, allowing you to either use an existing account or create a new one. From here, follow the prompts to confirm import fields.

After importing the lead, you'll see that the quote details are prefilled, making it easier to start your quoting process. Simply click on Quotes in the sidebar and begin as you normally would.

You can use the Epic Contacts option to address email messages to contacts from accounts in the system. If you initiate the email workflow from Applied Epic, contacts from the last account you accessed default in the list, but you can look up other contacts if necessary.

Here are some key features of the Epic Contacts option:

  • Epic Contacts: This option allows you to address email messages to contacts from accounts in the system.
  • Manual entry: You can also enter email addresses manually, but these addresses are not saved back to Applied Epic.

To apply a preconfigured Email Template to your message, you can use the Insert Email Template option. This option allows you to select a preexisting template, but you cannot create a new one. If the template you need does not exist, users with permission can create it in Email Template Configuration.

Attachments from an account in the system can be added to your email message using the Insert Epic Attachments option. If you initiate the email workflow from Applied Epic, attachments from the last account you accessed default in the list, but you can look up other attachments if necessary.

You can attach messages from Microsoft Outlook to the corresponding Applied Epic account using the Attach to Epic option. This option allows you to easily manage your email workflow and keep your Applied Epic and Outlook accounts in sync.
