Types of Messages
Sending a group text can be a bit tricky, but don't worry, I've got you covered. There are different types of messages you can send, and it all depends on who's on the receiving end.
If all of the recipients are using Apple devices and iMessage is turned on, the group message is sent as an iMessage. This is a big plus, as iMessages are often delivered instantly and can include features like end-to-end encryption and read receipts.
If any of the recipients aren't using iMessage, the message is sent as an MMS or SMS. This is because MMS and SMS messages go through your carrier instead of Apple, and they can appear in green text bubbles.
In a group MMS, everyone can share media like photos and videos, and they can also include links and other content. But keep in mind that MMS messages are often limited in size and may not be delivered instantly.
Here are the different types of group messages:
- iMessage: sent to Apple devices with iMessage turned on
- MMS/SMS: sent to non-Apple devices or when iMessage is not available
Sending a Group Text
Sending a group text can be a convenient way to reach multiple people at once, but it's essential to know the basics. You can send a group text using various messaging apps, including Google Messages, Samsung Messages, and even your CRM if you use HubSpot or Salesforce.
To send a group text, you'll need to create a group first. Google Messages allows you to add up to 20 recipients, while Samsung Messages has a similar limit. You can also use a shared phone number to send group texts, which can be especially helpful for businesses.

SMS
Group SMS is a type of message that appears in green text bubbles and goes through your carrier. Group SMS messages don't support multimedia attachments, like photos or videos.
All responses in a group SMS are sent as individual text messages. This means the recipients can't see the other responses from the group.

Sending a Message:
You can send a group message in several ways. One way is to use the New Group Message button in the Group Messages section, but be aware that this method is best for one-time messages.
To send a group message using the New Group Message button, select any premade groups you want to add or enter individual contacts. If you have a saved list of individual contacts, you can upload or paste them instead of entering them one by one.
When creating a group message, you'll need to check boxes confirming that you have permission to send messages to these contacts and that they will receive the option to opt out of messages. This is an important step to ensure you're respecting your contacts' boundaries.
Group messages send at a rate of 1 segment per second, with a segment being a text of 160 characters. This means that if you're sending a 1 segment message to 100 contacts, it will take 100 seconds.
Here are the steps to send a group message using the New Group Message button:
- Select any premade groups you want to add or enter individual contacts
- Check the boxes confirming permission and opt-out options
- Click the Send button to send your message to the selected contacts
Message Management
Group text conversations can quickly get out of hand, making it difficult to keep track of messages. This is why it's crucial to set a limit on the number of messages you receive from group chats. According to our previous section, you can do this by tapping the "Info" icon and selecting "Turn on low data mode" to limit the number of messages you receive.
If you're worried about missing important messages, you can also turn on "Message notifications" to receive alerts when someone sends a message. This will help you stay on top of the conversation and avoid missing crucial information.

Canceling a Message
Canceling a Message can be a bit tricky, but it's essential to know the rules. You can only cancel a message when it's either queuing or in the middle of sending.
If you cancel a message during queuing, no contacts will receive the message. It's like hitting the delete button before anyone even sees it.

Canceling a message during sending is a bit more complicated. Contacts that the message has already been sent to will still receive it, but the remaining contacts won't.
Here's a summary of what happens when you cancel a message at different stages:
If the message has already been marked as completed, you can't cancel it. It's like trying to unsend an email after it's already been delivered.
Avoid Duplicate Conversations
Avoiding duplicate conversations is a game-changer for message management. By sending the same information to multiple people separately, you can lead to inefficiencies and miscommunication.
Sending redundant messages can cause confusion, so use group texting strategically to streamline discussions. This keeps everyone aligned and minimizes confusion.
If you identify new contacts who need to be included in the group, start a new group message conversation with them included.

View
You can send group messages with ease using the View Groups button, perfect for recurring announcements or reminders.
This option is great for regular updates to the same group.
To use it, you'll need to have a custom group created.
Get Opt-ins with Easy Opt-Out
To send a group message, you need to get opt-ins from all participants. This means obtaining explicit consent from each person before sending them a group text message.
Group text messaging requires opt-in, just like texting with one contact. You can give your customers a simple way to opt in, such as a text-based keyword sign-up or a web form.
You should also respect your customers' preferences by offering a simple way to opt out of text messages. They should be able to send a simple keyword like STOP or QUIT to unsubscribe at any time.
If a contact opt-out from a group chat, all responses to the conversation will be blocked. You'll need to start a new chat if you want to message the non-opt-out contacts.
Before sending a group text message, always check the boxes confirming that you have permission to send messages to these contacts and that they will receive the option to opt out of messages.
Think About Timing
Timing is everything when it comes to sending group text messages. Be considerate of when you send them, especially since they'll be going to multiple recipients!
Avoid sending messages too early in the morning, late at night, or during weekends unless urgent. Sticking to business hours ensures that your messages are received at a convenient time.
Message Options
When sending a group text, you have several message options to choose from.
You can select the "MMS" option to send multimedia messages, including photos, videos, and audio files. This is especially useful for sharing memories with a group.
To send an MMS, make sure you have a stable internet connection and sufficient storage space on your device.
MMS
In a group MMS, you can see all responses from the group. This is super helpful for keeping track of conversations.
You can also mute notifications for a group MMS, which is great for avoiding distractions. I've found this feature to be really useful when I'm in a meeting or trying to focus.
Here are some additional features you can use in a group MMS:
- Send tapbacks
- Use Messages effects
- Edit messages
- Reply to specific messages
These features make group conversations even more efficient and fun.
Do More with Msgs

You can do so much more with Messages than just sending a simple text.
Learning how to leave a group message, or add or remove someone from a group, is a great way to stay organized and focused on the conversation.
To start a group FaceTime from Messages with just a tap, simply find the group you want to call and tap the FaceTime button.
Shared Numbers and Contacts
You can add someone to a group text on Samsung Messages if everybody in your group has chat features turned on.
To add someone to a group text on Samsung Messages, you'll need to open the group conversation and tap More (the three dots menu), then head to People and Options > Add People.
The recipient(s) you want to add will be selected from a list of contacts, and you can start typing their name or number to find them quickly.
It's worth noting that some phones come with their own messaging apps, and there are many third-party messaging apps available on the Play Store.
To add someone to the group, select the recipient(s) you would like to add to the group, then click the down arrow icon to the right of the group name, and tap Add/Remove Recipients.
When you're finished adding recipients, tap Done to save your changes.
Send from CRM
If you're looking for a streamlined way to send group texts, consider using your CRM.
You can send and receive group messages directly from your CRM, which allows your team to communicate in one place alongside your customer data.
This can save them time from switching between platforms, as shown with HubSpot and Salesforce.
